Class Booking & Waitlist Management – What You Need to Know
To keep classes fair and accessible, we use a structured booking and waitlist system. This guide explains when bookings open, how waitlists work, and what to expect if a space becomes available.
Class Bookings
Class bookings open 7 days before the class start time.
Spaces are limited, so we recommend booking early where possible.
You can book, cancel, or manage your classes directly in WodBoard.
How Waitlists Work
If a class is full, you can join the waitlist.
Being on the waitlist means:
You’re next in line if someone cancels.
Your position on the waitlist is held unless you remove yourself.
Auto-Promotion from the Waitlist (More Than 2 Hours Before Class)
If a space becomes available more than 2 hours before the class starts, the system will automatically promote the next person on the waitlist into the class.
You’ll receive a notification when this happens.
Once promoted, you are fully booked into the class and standard cancellation rules apply.
Spaces Released Within 2 Hours of Class Start
If a space becomes available within 2 hours of the class starting, the system does not auto-promote.
Instead, WodBoard sends a notification that a space is available.
Spaces are offered on a first-come, first-served basis.
If you don’t accept the space:
You remain on the waitlist in the same position.
If another space becomes available, you’ll be offered the opportunity again.
Overnight Waitlist Promotions
Between 10:00pm and 5:00am, waitlists automatically promote members into classes if spaces become available.
If you’re promoted overnight:
You’ll receive a notification.
The booking counts as a confirmed class, and standard cancellation rules apply.
If you’re not able to check your bookings first thing in the morning, we strongly recommend removing yourself from the waitlist before 10:00pm to avoid being promoted into a class you can’t attend.

Good to Know
If you’re unsure you can attend, it’s always safest to remove yourself from the waitlist.
Being promoted from the waitlist counts as a booking — late cancellations or no-shows may incur penalty fees.
All bookings and waitlists can be managed directly in WodBoard.
