Late Cancellation & No-Show Policy

At Gymnasium, we operate a community-first approach. When someone cancels late or doesn’t show up, it often means another member misses the chance to train. This policy helps make things fair for everyone and ensures classes don’t go unused.

Cancelling a Class

  • Please cancel your class in the Gymnasium App as early as possible.

  • Standard classes: cancel at least 1 hour before the class starts.

  • Early morning classes (05:30–09:00): cancel before 22:00 the night before.

Late Cancellation Fee – £5

  • A £5 fee applies if you cancel within 1 hour of the class start time, or after 22:00 the night before for early morning classes.

No-Show Fee – £10

  • A £10 fee applies if you do not attend a booked class and did not cancel your place.

  • A no-show also counts as your one class for that day.

How Fees Are Charged

  • Fees are added to your next monthly payment or invoiced separately if needed.

  • You’ll be notified automatically when a fee is applied.

Many classes have waitlists, and late cancellations or no-shows often mean another member misses the chance to train. This system ensures fairness for everyone.

1. What counts as a late cancellation?

Cancelling within 1 hour of the class start time, or after 10pm the night before for early morning classes (before 9am). A £5 fee applies.

 2. What counts as a no-show?

Not attending a booked class without cancelling. A £10 fee applies. A no-show also counts as your one class for that day, so you won’t be able to book another class on the same day.

 3. How will I be charged?

Fees are added automatically to your next monthly membership payment, or invoiced separately if you don’t have a payment due that month. You’ll be notified when a fee is applied.

4. Do the fees apply to Open Gym?

No — late cancel and no-show fees do not apply to Open Gym sessions.

 5. Why does a fee apply even if the class wasn’t full?

Because our booking system doesn’t have the ability to apply different rules based on class availability. The fee applies consistently to all classes.  6. What if I switched to a different class instead of cancelling?

If you switch after the late cancellation cut-off, the original booking will still incur a late cancel fee. The late change can prevent another member from taking your original spot.

 7. What if I was promoted from the waitlist overnight and didn’t realise?

You’re still responsible for the booking once promoted. If you’re unsure you can attend a morning class, we recommend removing yourself from the waitlist before 10pm to avoid being automatically promoted overnight.

 8. Can I dispute a fee?
